Bus delays and cancellations: what passengers should do

The bus did not arrive at the appointed time, and other passengers were waiting nearby. This does not yet explain where the bus service is: the platform may have changed, boarding may have been delayed, or there may have been a cancellation. First, confirm the situation through the official channel. Then decide whether to continue waiting or look for an alternative, taking into account the ticket conditions and your onward journey.

Make sure you are waiting in the right place

Check the address, date, time and stop on your ticket. One city may have several bus stations and street boarding points. Look at the latest emails and messages from the seller: notification of platform changes sometimes comes separately from the ticket. For international travel, check time zone and date transition.

At the bus station, ask the information desk about a specific bus service, naming the carrier and direction. The platform number of the adjacent departure does not confirm anything. If the boarding takes place on the street, rely on the description on the ticket and the carrier’s response, and not on the assumptions of random passers-by.

Contact the carrier and seller

First use the bus service contact from the ticket. Please provide your order number, stop and confirm that you are at the stop. Ask if the bus service is operating, where the boarding will take place, what the expected time is and how further updates will be sent. If there is no response, contact the seller. Save messages and call times; this will help restore the sequence of events.

The expected time is not a guarantee: traffic conditions may vary. But the passenger needs a clear guideline for making a decision. Don't walk too far from boarding just because someone in line said there was an unconfirmed delay. If you need to move away, check how you will know when boarding begins.

Save confirmations without unnecessary data

Take a photo of the board if it displays your bus service and time. Save your cancellation notice, ticket and correspondence. For additional expenses, keep receipts. Do not publish the QR code, passport details and order number in public groups. For your request, submit the necessary documents to official support.

  • Record the scheduled departure and the known actual time.
  • Save the suggested options for continuing your trip.
  • Check whether the original ticket is cancelled when accepting the alternative.
  • Ask for written confirmation of the decision.

Choose your next step

If the carrier offers another bus, find out the boarding location and time, final stop, baggage conditions and the availability of your seat. It is especially important to check whether the next connection remains possible. For separate tickets, the second carrier may not be aware of your delay; notify them and check the terms of the change independently.

Before purchasing an alternative yourself, ask if there is a procedure for agreeing expenses in advance. Self-selected expensive tickets or hotels are not automatically reimbursed. If you need an overnight stay, plan it as carefully as arriving at night in an unfamiliar city: address, availability and check-in time.

Understand applicable rights

Some regular bus services in the EU are subject to cancellation and significant delay rights. Specific conditions depend on the length of the regular route, the place of departure, the nature of the stop and other circumstances. Don't automatically transfer aviation rules to the bus. The official Your Europe overview helps you understand which provisions apply to your situation.

If your bus service is cancelled, ask about continuing your trip or obtaining a refund before making a voluntary cancellation. The procedure for applying and confirming is described in the article about bus ticket refunds. First, record the facts, then explain your request clearly. A universal promise of compensation for any delay would be misleading to the passenger.

After the trip

Prepare one written complaint with date, ticket number, brief chronology and attachments. Indicate what response or action is required. Ask for the complaint reference and response deadline. If the issue is not resolved, find the competent authority for the applicable jurisdiction through official sources. Emotional correspondence across multiple channels is usually less useful than one clear request with verifiable facts.

Frequently asked questions

The bus has not arrived: should I buy another ticket immediately?

First, confirm your bus service status and options with the carrier. Independent purchase without approval does not guarantee a refund.

Is it possible to rely on messages from other passengers?

Use them as a reason to check the information. Please confirm your boarding location, cancellation and new time with the official bus service contact.

What evidence should I keep?

Ticket, notifications, correspondence, photo of the departures board and receipts for additional expenses. Do not publish personal information and ticket code publicly.

What to do with a separate connection?

Notify the next carrier and check their terms and conditions for the change. Individual tickets do not always form a single protected journey.

Is compensation always due?

No. Applicable rights vary by route, circumstances and law. Check bus rules without substituting air travel conditions.

How to write a complaint after a trip?

Please include your ticket number, timeline, options offered and your desired solution. Attach confirmation and ask for a reference number.
